Where art thou data?

One of the biggest misconceptions about cloud applications is that control is lost over your data. This is far from the truth, if anything, hosting your data with a reputable cloud application supplier (SaaS) could mean that your data is better secured against theft, loss and/or malicious tampering than when on local ‘on-premise’ systems.

When it comes to document management and cloud options, PacSol can supply, consult on and support services using DocuWare Cloud. Here are a few reasons to consider choosing cloud for your business.

No special equipment and no maintenance costs

This is the quick and easy win for cloud services. As an organisation not only do you not have to purchase specific host equipment (application and/or database servers) and their associated licences but neither do you need to pay costs maintaining those assets. The cloud provider takes responsibility for all the infrastructure - this is especially important to smaller organisations that have no real infrastructure or dedicated IT personnel.

Fast implementation

Because the infrastructure already exists, a new cloud instance of an application can be made available to an organisation in less time than it takes to make and drink a cup of tea*. Of course, whilst the application will be ready, there will still need to be configuration specific to the organisation but within a matter of days, your business could be up and running with a DocuWare Cloud system managing documents and basic process automation - not weeks or even months!

Data Security & availability

Every organisation knows they need to backup their data and there are all too many examples of organisations facing issues because of loss, corruption or malicious attacks. Not only do reputable cloud providers such as DocuWare include virus and malware protection as part of the service, they also ensure your data safety with multiple backups - two same data centre copies as well as three further geo-redundant locations. Most likely at least 4 more copies of your organisation’s data than you have now, with no maintenance overhead and restorable (in the event of an incident) without fuss.

Wait! What about data privacy using other data centres?

When DocuWare replicates to an alternative data centre, the other location will remain within the appropriate data privacy region. For example, as a UK customer, the main data location is current Ireland (Northern Europe) with the geo-redundant site in the Netherlands (West Europe) - all governed under EU data privacy.

Data Access & Privacy

Whilst DocuWare manages the cloud infrastructure, they themselves have no access to the configurations and data held within each instance. This belongs to and is under the control of the owning organisation. Once the new instance has been created, all the access configuration, security models, audit features, index structures, workflows etc is managed by the organisation (or a chosen DocuWare partner under consultancy  - such as PacSol). DocuWare also uses Advanced Encryption Standard (AES) and HTTPS communication only.

Always up-to-date

Not only does the cloud platform offer high availability with data security, the application itself will always be the latest release version available, meaning your organisation will always have access to the latest innovations and functions within days of their publication. All without anyone in your business having to lift a finger!
